Optura and SC Johnson co-present at National ASUG Conference

Best Practices in Imaging and Workflow for A/P Shared Service

At the 2004 National ASUG Conference, Sam Ahuja, VP and Chief Solutions Architect for Optura, co-presented with Geri Lee-Petersen, Accounts Payable Manager for SC Johnson Company, a joint case study addressing Best Practice Imaging and Workflow for A/P Shared Service. During this presentation Sam and Geri focused on how SC Johnson utilized imaging and workflow in a best practice manner to process vendor invoices in a complex, high-volume environment. Their discussion included:
  • Indexing incoming invoice images
  • Using OCR to automatically process invoices and bypass A/P under certain conditions
  • Vendor self-service: vendors submitting invoices online, and checking invoice/PO status online
  • Non-PO invoice approval: communication strategies with vendors when centralizing invoice receipt
  • Access via e-mail for approvers that aren’t typically in SAP
  • Streamlined communication between A/P and Procurement for invoice exceptions
  • Using the end-to-end process view to identify bottlenecks and perform root-cause analysis
